Claims Lock-Up Box (C.L.U.B.)
Employees often save receipts for medical expenses and services, along with any Explanation of Benefits (EOBs) they receive from their employer’s insurance carrier, in a “shoebox” at home. That shoebox contains proof of the money they’ve spent on qualified medical expenses to be later reimbursed by their Health Savings Accounts (HSAs). Individuals must be able to reproduce the receipts in the event their tax returns are audited by the IRS.
eBenefits Administrators is pleased to offer a better way for individuals to save receipts, the Claims Lock-Up Box (C.L.U.B.). The C.L.U.B. is a secure database which stores electronic copies of receipts indefinitely for safe keeping along with any information relating to each receipt and expense.
Employees may submit receipts for electronic storage to eBenefits Administrators via these methods:
- Mail receipts to eBenefits Administrators, Inc., 4740 Peach St., Erie, PA 16509
- Scan and fax receipts to 866.661.0885
- Scan and email receipts to myHSAonlineclaims@ebeneadmin.com
After employees send their receipts, they may decide to take a distribution from their HSA or simply leave them stored in the Claims Lock-Up Box for future use. Expenses incurred today can be used for reimbursement decades later. This allows your employees to earn interest on their HSA account balances and ensures they don’t miss out on any of the tax-advantaged benefits of an HSA.
Employees can receive a copy of all their receipts simply by contacting us. They can rest assured they will be able to produce needed information in the event of an IRS audit, and the information can be provided to them via a CD-ROM in an expeditious manner. As an added benefit, we will review any employee’s claims and corresponding receipts to ensure they meet qualified medical expense requirements before taking a withdrawal from their HSA.
